Your Story Is Personal. We Treat It That Way.

Trust is fundamental to meaningful coaching.

Clients may speak with Heal & Coach® about relationships, marriage, family dynamics, difficult conversations, personal experiences, major decisions and important life transitions.

We recognise the deeply personal nature of these conversations.

Heal & Coach® therefore approaches confidentiality and personal information through four principles:

  • Privacy
  • Purpose
  • Restraint
  • Responsibility

We seek to collect what is reasonably necessary, use information for legitimate purposes, limit unnecessary access and handle personal information with appropriate care.

This page explains our approach to confidentiality and data handling. It should be read together with our Privacy Policy, Professional Disclaimer, Terms & Conditions and Cookie Policy.

1.Our Confidentiality Commitment

What You Share Deserves Respect.

Information shared during a private Heal & Coach® coaching engagement is treated as confidential within the boundaries of the applicable coaching arrangement and law.

We do not treat private coaching conversations as marketing material.

We do not intentionally disclose the substance of your private coaching conversations to family members, employers, collaboration partners or other unrelated third parties simply because they ask for it.

We do not sell private coaching conversations.

We do not promise absolute confidentiality where disclosure may be required or permitted by applicable law or where serious safety considerations arise.

Confidentiality is a professional commitment, with defined legal and safety boundaries.

2.What Information May Be Handled

Depending on how you interact with Heal & Coach®, information may include:

  • Identity & Contact InformationName, email address, telephone number, country or region and other contact details you choose to provide.
  • Booking InformationSelected service, appointment details, scheduling information and booking history.
  • Payment & Transaction InformationInformation required to confirm or administer payments and transactions. Payment providers may process payment-card or banking information directly under their own terms.
  • Coaching InformationInformation you voluntarily share during enquiries, intake, assessments, exercises, coaching sessions, check-ins or programme participation.
  • Relationship InformationWhere relevant to the service, information about relationships, marriage, family circumstances, communication patterns, goals, concerns or important life decisions.
  • CommunicationsEmails, messages, forms and other communications exchanged with Heal & Coach®.
  • Website & Technical InformationInformation generated through website use, cookies or similar technologies, as explained in our Privacy Policy and Cookie Policy.

We seek to avoid collecting personal information that is unnecessary for the service being provided.

3.What You Share in Coaching

The Coaching Room Is Different From the Public Internet.

Information shared during private coaching is handled differently from ordinary public website interactions.

During coaching, you may choose to discuss highly personal experiences.

Heal & Coach® seeks to use such information only as reasonably necessary for the coaching relationship, service administration, professional obligations and other purposes properly communicated to you.

Private coaching information is not intended to become advertising data merely because you are a Heal & Coach® client.

4.Individual Coaching

Information shared during individual coaching is ordinarily treated as confidential within the boundaries described in this policy and the applicable coaching agreement.

Heal & Coach® will not ordinarily provide spouses, partners, relatives, friends, employers or other third parties with details of your private coaching conversations without an appropriate basis.

Where someone else pays for your coaching, payment alone does not automatically entitle that person or organisation to the substance of your private conversations.

Any different reporting arrangement should be expressly agreed in advance.

5.Couple & Relationship Coaching

Two Participants. One Clear Confidentiality Framework.

Couple coaching requires particular clarity because information may be shared:

  • jointly by both participants

or

  • individually by one participant

Heal & Coach® will establish the applicable approach to individual disclosures within a couple engagement.

Participants should not assume that a separate conversation with the coach automatically creates an unlimited secrecy arrangement from the other participant.

Where individual conversations form part of couple coaching, expectations regarding confidentiality, information relevant to joint work and any limits should be clarified as part of the engagement.

The objective is to avoid hidden or conflicting expectations about the coach's role.

7.When Confidentiality May Be Limited

Confidentiality is important, but it is not represented as absolute.

Information may need to be disclosed where there is an appropriate legal or safety basis, which may include circumstances involving:

  • a valid legal obligation
  • a lawful court, regulatory or governmental requirement
  • a serious and imminent safety concern
  • suspected abuse or safeguarding circumstances where reporting obligations apply
  • protection of legal rights where disclosure is lawfully necessary
  • your express authorisation

Any disclosure should, where reasonably possible and lawful, be limited to information relevant to the purpose requiring disclosure.

Heal & Coach® does not position coaching confidentiality as equivalent to legally privileged communications between a client and a lawyer or another professional relationship where privilege is specifically established by law.

8.Safety & Emergencies

Heal & Coach® is not an emergency, crisis-response or emergency mental-health service.

If information shared indicates an immediate or serious safety concern, appropriate action may need to be considered according to the circumstances and applicable obligations.

If you or another person is in immediate danger or experiencing a medical or psychiatric emergency, contact the appropriate emergency or crisis-support service available in your location.

Do not rely on email, WhatsApp, a booking form or a scheduled coaching session for emergency assistance.

9.Minimum Necessary Data

Collect What Is Needed. Not Everything That Is Possible.

Heal & Coach® seeks to follow a principle of data minimisation.

We aim to collect personal information that is reasonably relevant to:

  • providing the requested service
  • managing appointments
  • communicating with you
  • processing or confirming transactions
  • maintaining appropriate service records
  • meeting legitimate professional, operational or legal requirements
  • protecting the security and integrity of our services

The fact that information could be collected does not mean it should be collected.

10.How Information May Be Used

Depending upon the context and applicable requirements, personal information may be used to:

  • respond to enquiries
  • assess service suitability
  • schedule and administer sessions
  • provide coaching services
  • communicate regarding programmes or appointments
  • maintain appropriate records
  • process or verify transactions
  • provide requested resources
  • manage client relationships
  • maintain website and information security
  • comply with applicable obligations
  • improve services using appropriately handled information

Where another purpose requires consent or another appropriate basis, that requirement should be addressed before the information is used for that purpose.

11.Access to Client Information

Need to Know, Not Nice to Know.

Access to personal information should be limited to Heal & Coach® personnel, service providers or professionals who reasonably require access for an authorised purpose.

Where external service providers process information on behalf of Heal & Coach®, appropriate attention should be given to:

  • confidentiality
  • security
  • purpose limitation
  • access
  • data protection responsibilities

Access should not be granted merely because information may be interesting or commercially useful.

12.Digital Communications

Heal & Coach® may communicate with clients through channels such as:

  • email
  • telephone
  • WhatsApp or similar messaging services
  • video-conferencing platforms
  • booking systems

No digital communication method can be guaranteed to be completely risk-free.

Clients are encouraged to consider privacy when communicating sensitive information and to use reasonably secure devices, accounts and environments.

For highly sensitive matters, substantive discussion may be better suited to a scheduled private coaching session rather than casual messaging.

13.WhatsApp & Messaging

Where WhatsApp or another messaging platform is offered, it may be used for purposes such as:

  • scheduling
  • brief check-ins
  • programme communication
  • administrative coordination

unless the applicable service expressly provides otherwise.

Messaging access does not create continuous availability, emergency support or unlimited coaching.

Third-party messaging platforms operate under their own privacy and security terms.

Clients should avoid sending information through messaging services that they would prefer to discuss within a scheduled private session.

14.Online Coaching

For online coaching, both Heal & Coach® and the client have a role in protecting privacy.

Heal & Coach® seeks to use appropriate platforms and working practices.

Clients are encouraged to:

  • join from a private environment
  • use a personal or trusted device
  • use secure internet access where reasonably possible
  • use headphones when privacy may otherwise be compromised
  • protect access to their email, messaging and meeting accounts

Heal & Coach® cannot control other people physically present in the client's environment.

15.Recording of Coaching Sessions

Private Means Private.

Heal & Coach® does not intend to routinely record private coaching sessions.

Where recording is proposed for a legitimate reason, appropriate notice and consent should be obtained before recording where required.

Clients should likewise not record, livestream, reproduce or distribute private coaching sessions without prior agreement.

Any authorised recording should be handled according to its stated purpose, agreed access and appropriate retention arrangements.

16.Session Notes & Coaching Records

Heal & Coach® may maintain limited notes or records where reasonably necessary for continuity, administration or professional purposes.

Such records should be:

  • relevant
  • proportionate
  • appropriately protected
  • retained only for an appropriate period
  • disposed of appropriately when no longer required, subject to applicable obligations

Not every spoken detail needs to become a permanent record.

That principle is important to our approach to confidential coaching.

17.Payment Information

Payments may be processed using third-party payment providers.

Heal & Coach® should not unnecessarily retain complete payment-card information where transactions are processed securely by an authorised payment provider.

Payment providers may independently collect and process information according to their own terms, privacy policies and regulatory responsibilities.

Transaction records may nevertheless need to be retained for accounting, taxation, fraud prevention, legal or administrative purposes.

18.Cookies & Website Data

Website interactions may generate technical information through cookies and similar technologies.

This information should be handled separately from the substance of private coaching conversations.

For details about website technologies and your choices, please review our:

and

Heal & Coach® does not intend to use confidential coaching conversations as behavioural advertising data.

19.Artificial Intelligence & Digital Tools

Technology Should Support the Work, Not Compromise Trust.

Heal & Coach® may use digital or AI-assisted tools for appropriate administrative, educational, analytical or coaching-support purposes.

The use of technology does not remove our responsibility to consider privacy and professional boundaries.

Sensitive client information should not be placed into general-purpose AI systems merely because doing so is convenient.

Where a technology materially processes confidential or sensitive coaching information, Heal & Coach® should consider the purpose, necessity, security, provider terms and applicable privacy requirements before use.

AI-generated or technology-assisted output does not replace human judgement or client agency.

20.Relationship Intelligence™ Tools & Assessments

Heal & Coach® may use tools associated with Relationship Intelligence™ and the Relationship Intelligence Arc™ (RIA™).

Information generated through questionnaires, reflection exercises, assessments or related tools should be handled according to the same privacy and confidentiality principles applicable to the underlying coaching service.

Unless expressly identified otherwise, such tools are for coaching, education and structured reflection, not clinical diagnosis.

21.Research & Anonymised Insights

Heal & Coach® may develop research, educational insights or thought leadership concerning relationships and Relationship Intelligence™.

Private client information should not simply be converted into identifiable public research material.

Where information is used for formal research requiring consent, ethical review or another specific process, the appropriate requirements should be addressed separately.

Where aggregated or anonymised insights are used, reasonable steps should be taken to reduce the risk that an individual client can be identified.

Coaching participation does not automatically equal consent to participate in research.

22.Testimonials & Client Stories

Your Coaching Story Is Not Ours to Publish Without Permission.

Heal & Coach® will not intentionally publish an identifiable client's testimonial, photograph, story or coaching experience as promotional material without appropriate permission.

Where permission is provided, information may be edited for:

  • length
  • readability
  • privacy

without intentionally changing the substantive meaning of the client's experience.

Consent to receive coaching is separate from consent to be featured publicly.

Declining a testimonial request should not affect access to coaching.

23.Collaborations & Referrals

Heal & Coach® may collaborate with matrimonial platforms, professional organisations, companies, communities, media organisations or other partners.

A collaboration does not automatically give the partner access to private client coaching information.

Where a client reaches Heal & Coach® through a collaboration or referral, the client's confidential coaching relationship should remain distinct from the referring organisation unless an alternative arrangement has been expressly communicated and appropriately agreed.

24.International Data Handling

Heal & Coach® may work with clients in India and internationally.

Some technology providers may process or store information in countries different from the client's location.

Where international processing or transfer occurs, Heal & Coach® should consider applicable data-protection requirements and appropriate safeguards.

The detailed legal basis, rights and international-transfer provisions should be set out in the Privacy Policy.

25.Data Retention

Personal information should not be retained indefinitely simply because it has been collected.

Retention periods may vary depending on:

  • the type of information
  • the purpose for which it was collected
  • the coaching or contractual relationship
  • accounting or taxation requirements
  • legal or regulatory obligations
  • dispute-management requirements
  • security considerations

When information is no longer reasonably required, it should be deleted, anonymised or otherwise appropriately disposed of, subject to applicable requirements.

Specific retention periods should be documented internally and stated publicly where required.

26.Data Security

Privacy Requires More Than a Promise.

Heal & Coach® seeks to use reasonable administrative, organisational and technical measures appropriate to the nature of information handled.

These may include, where appropriate:

  • access controls
  • authentication measures
  • device and account security
  • appropriate storage practices
  • controlled access to records
  • secure service providers
  • backup and recovery practices
  • confidentiality expectations
  • periodic review of information-handling practices

No physical or digital system can be guaranteed to be completely secure. Heal & Coach® therefore does not claim absolute or zero-risk security.

27.Data Incidents

Where Heal & Coach® becomes aware of a personal-data incident, it should assess:

  • what occurred
  • what information may be affected
  • who may be affected
  • the potential risk
  • what containment or corrective action is appropriate
  • whether notification is legally required

Where applicable law requires notification to affected individuals or an authority, the relevant process should be followed.

28.Your Privacy Rights

Depending on your location and applicable law, you may have rights concerning your personal information.

These may include rights relating to:

  • access
  • correction
  • deletion
  • withdrawal of consent
  • restriction or objection
  • data portability
  • complaints or grievances

Not every right applies in every circumstance or jurisdiction.

The Heal & Coach® Privacy Policy should explain applicable rights and how requests may be submitted.

29.Your Role in Protecting Confidentiality

Confidentiality works best when both sides take reasonable precautions.

Clients are encouraged to:

  • protect account passwords
  • use private devices where possible
  • avoid forwarding confidential communications unnecessarily
  • choose a private environment for coaching
  • avoid recording sessions without agreement
  • inform Heal & Coach® if contact details change
  • raise privacy concerns promptly

For couple coaching, each participant should also respect the privacy and dignity of the other participant.

30.Our Confidentiality Standard

Our approach can be summarised simply:

  • COLLECT WITH PURPOSEWe seek information relevant to providing the service.
  • ACCESS WITH REASONInformation should be accessible only where reasonably necessary.
  • USE WITH CAREPersonal information should be used for appropriate and communicated purposes.
  • SHARE WITH RESTRAINTConfidential information should not be disclosed casually.
  • PROTECT WITH RESPONSIBILITYReasonable safeguards should support the sensitivity of the information handled.
  • RETAIN WITH PURPOSEInformation should not be kept indefinitely without reason.
  • DELETE WITH CAREInformation no longer required should be appropriately disposed of, subject to applicable obligations.

31.Questions or Privacy Concerns

If you have a question about confidentiality, information handling or the privacy of your coaching engagement, we encourage you to ask.

You should understand how your information will be handled before sharing something you consider particularly sensitive.

Your Story Remains Your Story.

You may come to Heal & Coach® to speak about some of the most personal parts of your life.

That trust deserves more than a privacy statement.

It deserves clarity, restraint, respect and responsible handling.

Heal Within. Relate Better. Live Forward.
